How to use it

A timeline is one day, laid out hour by hour. Inside it are locations — the places the day happens — and inside those, events, each with a time. That's the whole model. Everything below is detail on top of it.

Getting started

WebOpen timelineplanner.soughtandfound.co and choose Create a timeline. No account is needed — it saves in your browser, and joins your account later if you sign in.

iPhoneTap ＋ on the Timelines screen, then pick a template or start blank.

Either way you'll be asked for a name — "Wedding Day", "Conference", whatever the day is. You can change it later.

Building a timeline

WebTurn on Edit in the toolbar. Then ＋ Add location and, under each location, ＋ Add event. Double-click any event to open it. Turn Edit off to see the timeline clean.

iPhoneThere's no edit mode — tap any event to edit it, or a location banner to edit the location. ＋ in the toolbar adds an event or a location, and each location has its own ＋ Add event row.

An event can hold

• A time, and optionally an end time
• A date, which only matters for a day that crosses midnight or spans several days — and, if it does span days, an end date too
• A description — a sentence about what happens
• Note lines, each with its own emoji, for the details someone needs at a glance
• A sub-note, quieter still, underneath
• Highlight, which makes the moment stand out down the whole timeline

Times and order

Events sort themselves. Add one at 7:00 to a location that already has 7:15 and it lands above it — you can enter a day in any order and it comes out right.

What moves an event is its time, and only that. Renaming one, or editing its notes, leaves it exactly where you put it. Two events at the same time keep the order you gave them, and an event with no time set stays put.

To arrange things by hand — two at the same time, or one with no time — Webdrag a row by its handle in Edit mode, or iPhoneuse ••• → Reorder, then drag.

A day that runs past midnight

A send-off at 12:30 AM is later than a 6 PM reception, but by the clock alone it looks earlier. Give that event a date — the day it actually falls on — and it sorts where it belongs.

An event that spans several days

A hotel stay, a cruise, anything that doesn't end the day it starts: turn on Spans multiple days in the event editor and give it an end date alongside the start. It shows as a range — "Dec 14 – 17" — instead of a single date, and an end time you set belongs to that later day, not the first.

Catch me up

Move a timed event by five minutes or more and you're offered a shortcut: shift everything after it by the same amount, instead of re-timing each one by hand. Choose just this event to leave the rest alone, just this location to carry the shift through what follows it there, or the whole rest of the day to carry it everywhere after.

An event you've locked (in its own editor) never moves this way — useful for a flight departure or a reservation that isn't yours to shift. The cascade stops the moment it reaches one, rather than skip past it and risk landing something after the anchor's own time.

Day of

WebDay of, in the toolbar, opens a full-screen, large-text view of what's happening right now and what's up next — meant to be left open on a phone or tablet during the actual event, not for editing. It refreshes on its own every 30 seconds and moves from one event to the next as real time passes.

An event with no explicit end time is treated as lasting until the next one starts, so "happening now" doesn't go blank in between. Before the day's first event, only "First up" shows; after the last one ends, it shows your timeline's own end icon and message from End marker in Timeline Settings.

Free, and it works for anyone who can open the timeline — a collaborator or a view-only follower can pull it up too.

Places and maps

Give a location a name and, optionally, an address: start typing and pick a suggestion. It's then pinned, and anyone reading the timeline can open it for directions — useful when they're standing outside the wrong building.

Each location also takes an icon and a short label ("First location", "Ceremony") shown above its name.

An addressed location outside your own time zone shows a small 🕐 GMT+1 (+7 hrs)-style badge automatically — free on every account, and silent for a same-zone location, so it only shows up when it's actually useful.

Pro adds two more, in Timeline Settings: weather forecasts on each location (Open-Meteo only forecasts about two weeks out, so a location further off just shows nothing yet), and commute time — drive time and distance from the location before it, recomputed whenever an address, the order, or the toggle itself changes. Tap it for directions between the two.

Checklist and attachments

Each event takes a checklist — one line per item, each with an optional leading emoji. Tap an item on the timeline to check it off and the emoji turns into a tick; tap again to undo it. Lines that are only information — a booking reference, say — you simply never tick.

SharingChecking something off is an edit, so it syncs to everyone. Someone following a view-only link can read the checklist but not tick it.

Photos and documents live in one place — Attachments, on any event. The floor plan, the shot list, the signed contract, the photo you want everyone to copy.

Attachments are part of Pro and need an account: the files are stored with your timeline rather than in the browser, which is what lets them appear on every device you sign in on.

Your account has a storage allowance shared across everything you make. The current figure, and how much of it you've used, is shown under the attachment list whenever you add something.

Reminders

iPhoneGive any timed event a reminder, from "at time" to two hours before — a local notification. Set a default in Settings so new events start with one.

WebSign in and any timed event can also get an email reminder — 1 hour, 2 hours, or 1 day before — sent to your account email, checked every few minutes. It needs an account (there's nowhere else to send the email), but it's free, not a Pro feature. The two are independent: setting one on your phone doesn't create the other.

Templates

A template is a skeleton with the locations and moments already in place: Trip, Birthday, Wedding, Conference, Moving Day, or blank.

They deliberately carry no times. An invented 9:00 start is wrong more often than it's right, and deleting a wrong time is more work than adding a right one.

Duplicating

Copy something you've already laid out rather than building it twice — a second ceremony day, a repeated block, a timeline you want to adapt without touching the original.

WebIn Edit mode, the copy button on a location or event puts a duplicate directly below it. ⚙ → Duplicate copies the whole timeline.

iPhonePress and hold a timeline, a location or an event.

A duplicated timeline is yours: it carries none of the original's sharing, so nobody who could see the original can see your copy. Attached files are copied too, so removing one from either copy never disturbs the other.

Sharing

A live link

One link that always shows your latest version. You choose what people can do:

• Invite only — nobody can open it except people you invite by email
• Anyone with the link can follow — they can read it, and see your updates
• Anyone with the link can edit — they can change it

As the owner, invite people by email right from this panel — they don't need an account yet, and appear here as soon as you send the invite. The same list shows everyone who has access, pending or accepted, so you can see who's in without guessing, and change anyone's role between can edit and view only right there, no need to invite them again.

A share link is a secret: anyone you send it to can pass it on. Turn sharing off and the link stops working.

Someone following your timeline sees Following · view only and when it was last updated, so they know whether what they're looking at is current. They can make their own copy at any time, which is then unconnected to yours.

WebAnyone else with the timeline open right now shows up as a small pill under the title — "Sarah is editing," or just "Tom is here" for someone reading rather than changing anything. It only lists people currently looking, not a history of who's been by.

A snapshot link

WebA frozen copy that needs no account. It won't stay in sync — useful when you want to hand someone the day as it stands and nothing more.

As a file

Export a timeline and send it. The recipient imports their own independent copy, which they can edit freely without affecting yours.

Add to Calendar

WebThe calendar icon in the toolbar downloads a .ics file of every timed event — Google Calendar, Apple Calendar, and Outlook all open one directly. iPhoneUse ••• → Add to Calendar instead, which also carries over any reminder you've set — it goes straight into whatever calendar app you use, not just Apple's. Either way, an event with no time set isn't included — there's nothing to put on a calendar without one.

Printing and PDF

Both platforms produce a clean printable page anyone can read without the app or an account. WebUse the print button — the toolbar hides itself. iPhoneUse ••• → Export as PDF.

It prints on the light theme even when you're using dark mode, so it doesn't drag a black page onto paper.

Bringing one in

WebPaste a schedule — type or paste a plain list, one item per line. Lines that start with a time become events ("5:30 AM Hair & Makeup"); lines that don't start a new location ("Church"). A preview shows exactly how it will read before anything is created.

You can also import a .json file exported from the web, or a .timeline file shared from the iPhone app. An imported timeline is your own independent copy.

Auto-import bookings from email

Every account gets a personal address for this — find it under Account → Auto-import bookings. Forward a flight or hotel confirmation to it and it's read automatically, without you typing anything in.

Only senders you've allowed get through — add the address you'll be forwarding from first, in that same panel. A forward from anywhere else is quietly ignored, so nobody can fill your queue with junk just by guessing your address.

What arrives sits in Bookings to review, not on a timeline — you pick which timeline and location it belongs to before anything is added. The forwarded email itself is never kept; only what's read out of it is.

Delta, United, American Airlines, JetBlue, Southwest, SWISS, Expedia, and Hyatt confirmations are read precisely, including a multi-leg itinerary — a layover becomes separate bookings to review, not one that only caught the first leg — and a hotel stay's real check-in and check-out, dates and times both. OpenTable and Disney dining reservations are recognized too. Anything else still comes through with a best-effort read, so nothing forwarded goes to waste — it just arrives with less filled in for you to finish by hand.

Pro adds live flight status for a flight imported this way from one of the airlines above — turn on Show live status on auto-imported flights in Timeline Settings and the event shows a badge near departure ("🛫 On time · Gate B12", "⚠️ Delayed 45 min", "✅ Landed"), on whichever platform you have open. It only appears close to departure, and only on a flight that came in through this auto-import — never on one you typed in by hand. A codeshare leg (flown by one airline, sold under another's flight number) only gets a badge when the printed number is one we can actually trust to look up.

iPhone also sends a notification when a tracked flight's status actually changes — delayed, cancelled, diverted, or landed — checked whenever you open the app and periodically in the background. A gate reassignment alone doesn't page you; turn it off in Settings → Flight status alerts if you'd rather just check the timeline yourself.

On your iPhone

Things the phone does that a browser can't. (Local-notification reminders are covered separately — see Reminders above, since the web now has its own version too.)

Calendar

••• → Add to Calendar copies every timed event into your calendar, with its reminder.

Home Screen widget

Add the Timeline widget: the small size shows your next event, the medium shows the day's agenda.

Live Activity

Turn it on in Settings for a live countdown to your next event on the Lock Screen and in the Dynamic Island.

Appearance

Light, dark, or follow the system. With Pro you can also change the accent colour and match your Home Screen icon to it.

Accounts and syncing

You don't need an account. Without one, a timeline lives only in that browser or on that phone — and disappears if you clear your browser data or delete the app.

Signing in saves your timelines to your account so they follow you across devices and between the web and the phone. Edit in either place and the other catches up. Anything you made before signing in comes with you.

Sign in with Apple, Google, or a link emailed to you. There's no password to forget.

Free and Pro

Free includes up to three timelines, locations, events, notes, sharing, and PDF export. Timelines other people share with you never count towards that — being sent one shouldn't cost you a slot.

Pro lifts the limit and adds every template, attachments — photos and documents, backed up to your account within its storage allowance — weather forecasts, commute time between locations, live flight status on auto-imported flights, and the accent palettes and alternate icons on iPhone. One subscription covers the web and the phone — though where you buy it decides what you pay: the website and the App Store are priced separately.

If something looks wrong

An event is in the wrong place

Check its time, and its date if the day crosses midnight. Events sort by when, so an event dated a day early sorts a day early.

My timelines aren't on my other device

They sync only when you're signed in, and to the same account on both. A timeline made signed-out stays where it was made until you sign in.

A shared link shows nothing

The owner may have turned sharing off, or it may be invite-only and your email isn't on the list. Ask them to check the sharing settings.

A photo or file isn't showing on my other device

Attachments are marked not backed up until they've reached your account. That's usually a moment; if it lasts, either the device is offline or the account is out of storage — the attachment list says which. The file is safe on the device it was added to either way, and goes up as soon as there's room.

I'm following a timeline and it looks out of date

The "last updated" line tells you when the version you're looking at was changed. If the owner has edited since, it will catch up on the next sync.

Frequently asked questions

Is it free?

Yes — you can create up to three timelines for free, no account needed. Pro unlocks unlimited timelines; see Free and Pro.

Do I need an account?

No. Timelines save in your browser (or on your iPhone) and work fully offline. Signing in only adds syncing across devices and sharing with collaborators.

Can I use it on my laptop and my phone?

Yes. Plan on the web and follow along in the iPhone app — sign in on both and everything syncs automatically.

How do I share a timeline with someone?

Three ways — a live link, a snapshot link, or a file. See Sharing.

Can other people edit it with me?

Yes — invite collaborators by email, or switch on "anyone with the link can edit." See Sharing.

Is my data private?

Yes. A timeline is only visible to you unless you deliberately share it, and private timelines never appear in link previews. See our Privacy Policy.

What if I delete something by mistake?

WebDeleting an event, a location, or a whole timeline always asks you to confirm first — and right after, a brief Undo button appears. Click it and the deletion is reversed, exactly as it was. Once that button disappears, though, it's gone for good — there's no separate trash or recovery after that.

Can I cancel anytime?

Yes — a Pro subscription can be cancelled whenever you like, and you keep access until the period you've already paid for ends.
