A timeline is one day, laid out hour by hour. Inside it are locations โ the places the day happens โ and inside those, events, each with a time. That's the whole model. Everything below is detail on top of it.
Getting started
WebOpen timelineplanner.soughtandfound.co and choose Create a timeline. No account is needed โ it saves in your browser, and joins your account later if you sign in.
iPhoneTap ๏ผ on the Timelines screen, then pick a template or start blank.
Either way you'll be asked for a name โ "Wedding Day", "Conference", whatever the day is. You can change it later.
Building a timeline
WebTurn on Edit in the toolbar. Then ๏ผ Add location and, under each location, ๏ผ Add event. Double-click any event to open it. Turn Edit off to see the timeline clean.
iPhoneThere's no edit mode โ tap any event to edit it, or a location banner to edit the location. ๏ผ in the toolbar adds an event or a location, and each location has its own ๏ผ Add event row.
An event can hold
- A time, and optionally an end time
- A date, which only matters for a day that crosses midnight or spans several days
- A description โ a sentence about what happens
- Note lines, each with its own emoji, for the details someone needs at a glance
- A sub-note, quieter still, underneath
- Highlight, which makes the moment stand out down the whole timeline
Times and order
Events sort themselves. Add one at 7:00 to a location that already has 7:15 and it lands above it โ you can enter a day in any order and it comes out right.
What moves an event is its time, and only that. Renaming one, or editing its notes, leaves it exactly where you put it. Two events at the same time keep the order you gave them, and an event with no time set stays put.
To arrange things by hand โ two at the same time, or one with no time โ Webdrag a row by its handle in Edit mode, or iPhoneuse โขโขโข โ Reorder, then drag.
A day that runs past midnight
A send-off at 12:30 AM is later than a 6 PM reception, but by the clock alone it looks earlier. Give that event a date โ the day it actually falls on โ and it sorts where it belongs.
WebIf you set a small-hours time on an undated event while the rest of that location runs into the evening, you'll be asked whether it belongs to the next day. Nothing is ever re-dated without asking.
Places and maps
Give a location a name and, optionally, an address: start typing and pick a suggestion. It's then pinned, and anyone reading the timeline can open it for directions โ useful when they're standing outside the wrong building.
Each location also takes an icon and a short label ("First location", "Ceremony") shown above its name.
Checklist and attachments
Each event takes a checklist โ one line per item, each with an optional leading emoji. Tap an item on the timeline to check it off and the emoji turns into a tick; tap again to undo it. Lines that are only information โ a booking reference, say โ you simply never tick.
SharingChecking something off is an edit, so it syncs to everyone. Someone following a view-only link can read the checklist but not tick it.
Photos and documents live in one place โ Attachments, on any event. The floor plan, the shot list, the signed contract, the photo you want everyone to copy.
Attachments are part of Pro and need an account: the files are stored with your timeline rather than in the browser, which is what lets them appear on every device you sign in on.
Your account has a storage allowance shared across everything you make. The current figure, and how much of it you've used, is shown under the attachment list whenever you add something.
Templates
A template is a skeleton with the locations and moments already in place: Trip, Birthday, Wedding, Conference, Moving Day, or blank.
They deliberately carry no times. An invented 9:00 start is wrong more often than it's right, and deleting a wrong time is more work than adding a right one.
Duplicating
Copy something you've already laid out rather than building it twice โ a second ceremony day, a repeated block, a timeline you want to adapt without touching the original.
WebIn Edit mode, the copy button on a location or event puts a duplicate directly below it. โ โ Duplicate copies the whole timeline.
iPhonePress and hold a timeline, a location or an event.
A duplicated timeline is yours: it carries none of the original's sharing, so nobody who could see the original can see your copy. Attached files are copied too, so removing one from either copy never disturbs the other.
Sharing
A live link
One link that always shows your latest version. You choose what people can do:
- Invite only โ nobody can open it except people you invite by email
- Anyone with the link can follow โ they can read it, and see your updates
- Anyone with the link can edit โ they can change it
A share link is a secret: anyone you send it to can pass it on. Turn sharing off and the link stops working.
Someone following your timeline sees Following ยท view only and when it was last updated, so they know whether what they're looking at is current. They can make their own copy at any time, which is then unconnected to yours.
A snapshot link
WebA frozen copy that needs no account. It won't stay in sync โ useful when you want to hand someone the day as it stands and nothing more.
As a file
Export a timeline and send it. The recipient imports their own independent copy, which they can edit freely without affecting yours.
Printing and PDF
Both platforms produce a clean printable page anyone can read without the app or an account. WebUse the print button โ the toolbar hides itself. iPhoneUse โขโขโข โ Export as PDF.
It prints on the light theme even when you're using dark mode, so it doesn't drag a black page onto paper.
Bringing one in
WebPaste a schedule โ type or paste a plain list, one item per line. Lines that start with a time become events ("5:30 AM Hair & Makeup"); lines that don't start a new location ("Church"). A preview shows exactly how it will read before anything is created.
You can also import a .json file exported from the web, or a .timeline file shared from the iPhone app. An imported timeline is your own independent copy.
On your iPhone
Things the phone does that a browser can't.
Reminders
Give any timed event a reminder, from "at time" to two hours before. Set a default in Settings so new events start with one.
Apple Calendar
โขโขโข โ Add to Apple Calendar copies every timed event into your calendar, with its reminder.
Home Screen widget
Add the Timeline widget: the small size shows your next event, the medium shows the day's agenda.
Live Activity
Turn it on in Settings for a live countdown to your next event on the Lock Screen and in the Dynamic Island.
Appearance
Light, dark, or follow the system. With Pro you can also change the accent colour and match your Home Screen icon to it.
Accounts and syncing
You don't need an account. Without one, a timeline lives only in that browser or on that phone โ and disappears if you clear your browser data or delete the app.
Signing in saves your timelines to your account so they follow you across devices and between the web and the phone. Edit in either place and the other catches up. Anything you made before signing in comes with you.
Sign in with Apple, Google, or a link emailed to you. There's no password to forget.
Free and Pro
Free includes up to three timelines, locations, events, notes, sharing, and PDF export. Timelines other people share with you never count towards that โ being sent one shouldn't cost you a slot.
Pro lifts the limit and adds every template, attachments โ photos and documents, backed up to your account within its storage allowance โ and the accent palettes and alternate icons on iPhone. One subscription covers the web and the phone โ though where you buy it decides what you pay: the website and the App Store are priced separately.
If something looks wrong
An event is in the wrong place
Check its time, and its date if the day crosses midnight. Events sort by when, so an event dated a day early sorts a day early.
My timelines aren't on my other device
They sync only when you're signed in, and to the same account on both. A timeline made signed-out stays where it was made until you sign in.
A shared link shows nothing
The owner may have turned sharing off, or it may be invite-only and your email isn't on the list. Ask them to check the sharing settings.
A photo or file isn't showing on my other device
Attachments are marked not backed up until they've reached your account. That's usually a moment; if it lasts, either the device is offline or the account is out of storage โ the attachment list says which. The file is safe on the device it was added to either way, and goes up as soon as there's room.
I'm following a timeline and it looks out of date
The "last updated" line tells you when the version you're looking at was changed. If the owner has edited since, it will catch up on the next sync.

Is it free?
Yes โ you can create up to three timelines for free, no account needed. Pro unlocks unlimited timelines; see Free and Pro.
Do I need an account?
No. Timelines save in your browser (or on your iPhone) and work fully offline. Signing in only adds syncing across devices and sharing with collaborators.
Can I use it on my laptop and my phone?
Yes. Plan on the web and follow along in the iPhone app โ sign in on both and everything syncs automatically.
How do I share a timeline with someone?
Three ways โ a live link, a snapshot link, or a file. See Sharing.
Can other people edit it with me?
Yes โ invite collaborators by email, or switch on "anyone with the link can edit." See Sharing.
Is my data private?
Yes. A timeline is only visible to you unless you deliberately share it, and private timelines never appear in link previews. See our Privacy Policy.
Can I cancel anytime?
Yes โ a Pro subscription can be cancelled whenever you like, and you keep access until the period you've already paid for ends.
